Item #19
CITY COUNCIL AGENDA REPORT

March 18, 2025
City Manager

TITLE: PROVIDE DIRECTION ON FUNDING OF THE 2025 COMMITTEE AND
COMMISSION RECOGNITION EVENT

SUMMARY
The City hosts an annual event to recognize City commissioners and committee members.
This year, in light of the City's current fiscal challenges, the City Council requested a
discussion to reconsider funding this annual event to reduce costs toward achieving a
balanced budget.

RECOMMENDATION
Provide direction on funding of the 2025 Committee and Commission Recognition event.

BACKGROUND
At the March 4, 2025, City Council meeting, Councilmember Testa introduced a request under
the Matters Initiated portion of the meeting agenda to reconsider funding for the upcoming
Committee and Commission recognition event, currently scheduled for April 17, 2025, in light
of the City's current fiscal challenges. By majority consensus, the City Council agreed to
consider the item at a future City Council meeting.

DISCUSSION
For many years, the City has hosted an annual event to recognize City commissioners' and
committee members' service to the City. This event has historically consisted of a dinner and
presentations, with associated costs consisting of venue rental, audiovisual production,
catering, postage, and additional materials and supplies. The original budget for the 2025
Committee and Commission Recognition event was $39,500.

In consideration of the City's current fiscal challenges, staff had already reduced the total
celebration budget for 2025 to $11,500 and planned a smaller event at a City-owned facility—
Callippe Preserve Golf Course—with a more limited invitation list to contain expenses.

As an alternative to this event and to reduce costs even further, the City could host a pre-
meeting reception before the April 15 City Council meeting at a total estimated cost of
approximately $500. All committee and commission members would be invited to attend the
reception to join the City Council in acknowledging their work over the past year and
recognizing outgoing commission and committee members.

EQUITY AND SUSTAINABILITY
Reducing costs for non-essential City events supports the City's efforts toward fiscal
sustainability.
