City of Pleasanton
Consulting Services - AMI Procurement and Program Management
14 | P a g e

POC Summary Report
Following F-UAT approval, Diameter will produce a POC Summary Report. This will include details on
the number of completed installations, key KPIs like task, compliance and damage claim rates, the results
of the Quality Assurance program, any installation processes or procedures that have been adjusted,
and the financial status of the program. This report is meant to inform key District stakeholders interested
in how the program is trending following this critical phase. If there are any concerns, Diameter will also
provide recommended approaches for adjustments to be made prior to the Installation and Deployment
phase.
1.3.8. Program Coordination and Support
Based on industry best practices, Diameter understands that a structured approach to program support
and coordination is critical to successful delivery of Pleasanton’s program. Planning and scheduling
meetings with the right people, at the right time and cadence, while effectively organized by topic or
workstream, is fundamental to Diameter’s success in program management for this type of complex
program. Diameter’s approach ensures that all of the Program’s stakeholders are identified and included
in the relevant meetings and workshops that are central to planning and execution. Throughout the
Program certain workstreams and module meetings may change, and personnel may shift depending on
the phase of the Program. With the complexity of Pleasanton’s program, consistent communication and
alignment with the Program’s various vendors will be instrumental. Our proven approach allows all team
members to stay aligned, discuss work performed and plan upcoming weeks and months, and openly
discuss and resolve any issues and risks that arise. All the processes established during startup will be
leveraged throughout each phase of the overall program. Given the criticality of the POC phase, Diameter
has accounted for a number of additional meetings where all parties can discuss progress and determine
a resolution plan for any issues or risks that arise (including preparations, meetings and minutes).
Kickoff Meetings
We will begin the engagement with a pre-kickoff meeting for the overall program including the Diameter
team and Pleasanton staff to introduce all team members. This meeting will focus on reviewing the
program plan for the planning to ensure that the team is properly onboarded, the team understands roles
and responsibilities, and timelines are established for as many meetings as possible. The Program
Kickoff meeting will bring external vendors into the discussion and provide a deeper dive into the detailed
plans and activities for their team during the Startup subphase. For the meetings described above,
Diameter will drive this process and schedule the meetings with key stakeholders typically over a 4-week
period. Diameter will prepare a draft of each presentation, hold one review meeting with the Pleasanton
program manager, incorporate feedback, chair the meetings, and take and distribute minutes and action
items.
Program Progress Meetings
On a monthly basis a progress meeting will be held with a broader team comprised of Diameter and
Pleasanton Staff. The focus of this meeting will be the holistic view of the program. This meeting will
review the status of the overall program with all Pleasanton team members, track overall progress,
identify and address risks, keep all stakeholders informed, assign and review tasks as required, and
ensure all parties understand the next steps.
Program Schedule and Risk Meetings
Occurring on a bi-weekly basis, this meeting will have a very focused agenda including reviewing the
master program schedule and reviewing project risks with the various Installation Vendor Project
managers. Diameter will be responsible for maintaining and updating a risk log (“RAID log") and program
schedule as needed.
EXHIBIT A
Docusign Envelope ID: 134A9AB7-298B-4C3D-A5CB-AF281D5118F0
