This
amendment extends the existing agreement with Folger Graphics for printing services for an
additional year and reflects the reduced number of Activities Guides, resulting in a decrease to
the annual not-to-exceed amount, with additional savings possible depending on the final page
counts of the Activities Guide and City Newsletter.

RECOMMENDATION
Authorize the City Manager to enter into the second amendment to the services agreement
with Folger Graphics for Activities Guide and City Newsletter printing services in an amount not
to exceed $51,525 until November 30, 2026, for a total amount not to exceed $411,829.

BACKGROUND
The City offers a range of recreational classes, preschool activities, environmental education,
and civic arts programs. It also manages and coordinates youth sports programs and
recreational activities for adults with developmental disabilities, as well as community-wide
special events. The City advertises these classes and programs in its biannual Activities
Guide, which residents use to register for the wide variety of activities available.

The City provides the Progress Newsletters to inform residents of important topics, events, and
key milestones.

The City and Folger Graphics executed the original agreement on November 20, 2021 with a
three-year term and a not to exceed amount of $91,000 in year one, $94,640 in year two, and
$98,426 in year three for a total amount of $284,066 (four percent increase per year). In
December 2024 the City executed an amendment to the agreement for a one-year term, for
$76,238, for a total amount not to exceed $360,304.

DISCUSSION
In an effort to reduce General Fund expenses while maintaining effective community outreach,
the City has transitioned from printing three Activities Guides per year to two. This change
reflects updated program scheduling and marketing practices, resulting in cost savings while
continuing to provide residents with a comprehensive and accessible overview of programs
and services.
