RFP: City of Pleasanton, I-580 Overcrossing Bicycle & Pedestrian Improvements (CIP #22570) | 15
those stakeholders where they are and communicating
clearly about design decisions and their real-world
impacts. We are experienced in building the public
conĮdence needed to carry a project through design,
permitting, and into construction. Team 360 is committed
to delivering that engagement in a way that is transparent,
and reŇective of the Pleasanton community's priorities.
Task 3.1 – Engagement Planning and Project
CoordinaƟon
We will begin the project with a structured kickoff process
that aligns the full project team - including Wood Rodgers
and the City of Pleasanton - on objectives, timelines, roles,
and communication protocols. Following our initial
roadmapping, Team 360 will develop a comprehensive
Community Engagement Plan that deĮnes outreach goals,
target audiences, methods, and deliverables organized
around the project's major design milestones.
We will develop and maintain a stakeholder list
encompassing businesses, residents, neighborhood
organizations, disability advocates, cycling and pedestrian
groups, and other corridor stakeholders within the project
area. Our practice is to treat the stakeholder list as a living
document, updated throughout the project as design
advances and new contacts are identiĮed.
Throughout the design phase, we will maintain a steady
coordination rhythm with Wood Rodgers and the City,
participating in project team meetings, preparing meeting
documentation, and tracking action items and
commitments to ensure nothing falls through the cracks.
Team 360 also brings direct expertise working in the
Alameda County Region for 20 years and understanding
of Local Business Contract Equity (LBCE) program
requirements - having development and managed local
compliance programs throughout Alameda County - and
will coordinate with Wood Rodgers to ensure all
compliance documentation and work distribution tracking
are well-organized from project initiation.
Task 3.1 Deliverables:
• Community Engagement Plan (draft and Įnal)
• Stakeholder list(s); kickoff meeting summary
• Meeting minutes and coordination documentation
• LBCE work distribution documentation support.
Task 3.2 – Community Outreach and Public
MeeƟngs
We will participate in the project site visit alongside the
project team, using that opportunity to develop a
Įrsthand understanding of the three overcrossing
locations at Santa Rita Road, Hacienda Drive, and Hopyard
Road and identify the businesses, neighborhoods,
organizations and residents in the immediate vicinity that
will be priority audiences for outreach. We recognize that
each of the three corridors may present a distinct
engagement proĮle, and we will tailor our stakeholder
identiĮcation and outreach approach accordingly.
As design advances, We will organize and facilitate public
outreach activities throughout each design milestone,
ensuring that the Pleasanton community has meaningful
opportunities to learn about the project, ask questions,
and provide input that informs design decisions. We will
organize and facilitate community workshops and open
house events, coordinating all logistics including venue,
materials, accessibility accommodations, and stafĮng.
Our extensive experience conducting public meetings for
the OakDOT streetscape projects includes successfully
facilitating community forums, corridor open houses,
interactive design feedback sessions and even door-to-
door visits with corridor businesses. we will bring that
same intentional, hands-on approach to Pleasanton. We
will also conduct targeted outreach to businesses and
organizations adjacent to the three overcrossing locations,
ensuring that stakeholders who may not attend formal
meetings still receive timely, accurate information about
the project.
All public engagement activities will be documented
through meeting summaries, attendance records, and
feedback reports that capture community input in a
format useful to the design team.
Task 3.2 Deliverables:
• Community workshops / open house events
• Business and stakeholder outreach
• Meeting summaries and feedback reports
• Attendance documentation
TASK 3.3 – PROJECT COMMUNICATIONS
AND PUBLIC INFORMATION MATERIALS
We will develop and manage all public-facing
communications materials throughout the design and
permitting process. Our in-house communications and
media production team will produce a full suite of project
materials designed to explain complex design
improvements in clear, accessible terms for a general
audience.
Materials will include project fact sheets and one-pagers,
construction and project update notices, digital content
for the project website and social media channels, and
presentation materials for public meetings and
Docusign Envelope ID: 51FAFAD2-C432-8610-82B1-8C74A5863E3EDocusign Envelope ID: CF4E9CB2-CD8E-8250-8118-86FF73955901
